Monthly Reporting

Each residential Adult & Teen Challenge program is required to submit monthly reports to ATCHQ. These reports cover staffing, program participants, and outreach information. Reports are due by the 10th of each month.

Effective January 1, 2021, the monthly reporting process was moved to a new tool called “Qualtrics”. This allows for easier reporting, as well as much more in-depth analysis of reporting data.

What is Qualtrics?

Qualtrics is the name of an industry-standard survey tool. You may have used Qualtrics already if you have ever filled out a customer satisfaction for a hotel or airline.

How do I access the new Monthly Reports?

Each center must designate an individual at their location to be responsible for filling out the monthly reports. To designate that individual, click here or hover over the “Accreditation” tab on this website and select “Monthly Report Contact Info“. Fill out the center name, along with the first and last name and email address of the individual who will fill out your monthly reports.

On the 1st of each month, ATCHQ will email a custom link to all monthly reporting contacts. Those individuals have until the 10th of the month to click on the link and fill out the survey for their center. The form should take less than 10 minutes to fill out.

Can I assign more than one individual to be responsible for reporting?

No, currently you can only assign one individual per location. If you need to change that individual for any reason, you can just fill out the “Monthly Report Contact Info” form and ATCHQ will update your program’s reporting contact.

How do I view reporting data for my center?

Currently only CEO’s and Regional Reps have access to the reporting dashboard for monthly reports. If you’d like to see data for your program location, you can reach out to your CEO or Regional Rep and ask them to generate a .pdf or .csv with just your center data.

What happened to myTC (myTeenChallenge)?

Effective January 15, 2021, the myTC student management app was decommissioned. ATC locations still have the ability to log in and view legacy data, but no new data can be input into the system. ATCHQ will keep the myTC database archive accessible for 7 years.

What questions are asked on the monthly reports?

  1. How many full-time staff did you have on payroll as of the last day of the month?
    Full-time is defined as working over 37.5 hours per week.
  2. How many part-time staff did you have on payroll as of the last day of the month?
    Part-time is defined as working less than 37.5 hours per week.
  3. How many interns did you have on payroll as of the last day of the month?
    Intern is defined as first-year program graduates completing an extended training phase.
  4. How many of your staff on payroll this month are graduates of any ATC program?
    This includes full-time, part-time, and interns.
  5. How many people volunteered at your center during the month?
  6. What are the total number of beds available for program participants at your center?
    Excludes staff housing and beds for children of program participants.
  7. How many program participants are enrolled in your program as of the last day of the month?
  8. How many new program participants enrolled in your program during the month?
    Do not include transfer students.
  9. How many program participants transferred into your program from an induction center during the month?
  10. Induction programs only: How many program participants transferred out of your induction program into a training program during the month?
  11. How many program participants exited your program early (voluntary or involuntary) this month?
  12. How many program participants completed the residential program during the month?
    Excludes induction centers – please enter transfers to training programs in the previous question.
  13. How many program participants exited your program early (voluntary or involuntary) during the following times frames? 0-30 Days, 31-60 Days, 61-180 Days, and 181+ Days
